4. Entry and access control
Integrate with turnstiles, doors or front-desk devices; block entry when a membership is invalid and keep entry logs. This is the most sensitive module under KVKK; see below.
5. Member communication and loyalty
Send renewal reminders, birthday messages, class-change notifications and promotions. Create a “we miss you” follow-up for members who haven't visited recently. Marketing SMS, WhatsApp and email require consent for commercial electronic messages through İYS; service notifications are assessed separately.
6. Progress tracking and a mobile app
Track body measurements, goals and programs; let members book classes, view memberships and payments, and enter with a QR code. A mobile app improves the member experience, but information such as weight and health status is sensitive and requires consent.
7. Reporting
Track active and inactive members, renewal rates, monthly revenue, sales by plan, class occupancy, peak hours, trainer performance and the cost of acquiring new members by channel.
Reducing member churn
Unnoticed churn is one of a gym's biggest sources of lost revenue. Your software should flag:
- Visit frequency: Members who have not visited in the past 14 or 30 days.
- Upcoming renewals and renewal rates.
- Attendance during the first 30 days: Helping a new member build a habit matters. Check in during the first week and suggest a program.
- Complaints and membership-freeze requests.
Assigning these follow-ups to trainers and front-desk staff is one of the most cost-effective ways to grow: retain your existing members.
KVKK: Why biometric access is a problem
The Personal Data Protection Board reviewed complaints about gyms using palm and fingerprint scans to control member entry and exit, and found these practices unlawful. According to the summary of Board Decision No. 2020/167, dated 27 February 2020:
- Hand and fingerprint scans process biometric data, which is a special category of personal data.
- Since less intrusive alternatives such as cards and QR codes are available, biometric access was found disproportionate. Members' explicit consent did not remove the violation.
- The Board imposed an administrative fine and required the business to destroy the biometric data.
In other decisions involving gyms, the Board similarly found that consent may not be freely given when access to a service is conditional on biometric consent (related decisions). It has also ruled on processing a special-category data point such as blood type without explicit consent (Decision No. 2022/1357). Therefore:
- Use QR codes, cards, wristbands or PINs for entry; avoid biometric access systems.
- Don't collect health data you don't need. Don't require blood type or medical conditions on the registration form. If you need this information, clarify the legal basis and explicit consent.
- Provide a privacy notice during registration and define data-retention periods.
- Use photography and CCTV only for a specific, proportionate purpose.
- Limit access rights so each staff member sees only the data needed for their role.
