What is CRM and what does it do?

Customer information is often scattered across a sales representative's phone, email inboxes, WhatsApp conversations, and spreadsheets. When an employee leaves, the information can leave with them. A CRM turns those scattered records into shared business memory:

  • Who contacted you, when, and through which channel? (source tracking)
  • Where are they in the process? (first conversation, proposal, negotiation, won or lost)
  • What happens next, and who owns it? (tasks and reminders)
  • What has happened so far? (meeting notes, proposals, support requests)

How widely is CRM used in Türkiye?

Reports citing TurkStat's 2025 ICT Usage in Enterprises survey (Akdeniz Gerçek, TurkStat data portal) say that about 28.3% of enterprises use ERP and 12% use CRM software. CRM adoption reaches 42.0% among enterprises with 250 or more employees, but falls to about 9.9% among those with 10–49 employees. Customer data therefore remains fragmented at most small and medium-sized businesses.

A visible sales pipeline shows where each opportunity is getting stuck. Automatic reminders reduce proposals that receive no follow-up, while proposal templates and approval workflows save time.

A ready-made CRM is a sensible starting point for businesses with a standard sales process that want to get going quickly. A custom CRM is worth considering when you have sector-specific workflows (such as matching real-estate listings, service work orders, or proposal approvals), need deep ERP/accounting integrations, or require more control over your data. Even then, you can customize a ready-made core or build only the modules you need instead of starting from scratch.

Steps for implementing a CRM

  1. Set a goal. Do you want to capture missed inquiries, standardize sales, or improve reporting? Choose one primary goal.
  2. Map the process. Write down each opportunity stage and the condition for moving to the next one.
  3. Prepare the data. Clean existing customer lists and merge duplicate records.
  4. Start with a small number of fields. Teams avoid a CRM when too many fields are mandatory.
  5. Train the team and make usage standard practice. The rule “if an opportunity is not in the CRM, it does not exist” is one of the most effective ways to drive adoption.
  6. Start with a pilot. Launch with one team or workflow, improve it, and then expand.
  7. Measure and improve. Use weekly reports to find bottlenecks.

The most common reason CRM projects fail is not technical: it is consistent usage. If the team does not enter the data, even the best software stays empty.

Personal data protection and communication permissions

A CRM processes a large amount of personal data, so plan for:

  • Privacy notices and retention periods: Define what data you keep, why you keep it, and for how long.
  • Access permissions: Not everyone should see every customer. Use role-based access and activity logs.
  • Commercial electronic messages: Marketing SMS, email, and WhatsApp messages require prior consent and registration with the Turkish Commercial Electronic Message Management System (İYS) (Law No. 6563). Consent under the Personal Data Protection Law and permission for commercial messages are separate matters.
  • Deletion and objection requests: Be ready to delete or anonymize information when a person makes a valid request.
  • Use of AI: When sending CRM data to an AI model, consider the Turkish data authority's guidance on generative AI and data minimization.

  • Conversion by source (form, phone, WhatsApp, referral)
  • Sales-cycle length and win rate
  • Average age of open pipeline opportunities (to find stalled deals)
